Privacy Policy

Last updated: November 6, 2026

This Privacy Policy explains how TrackPass ("TrackPass", "we", "us") collects, uses, and protects information when you visit our website, request a demo, or use the TrackPass application on behalf of an organization ("Customer").

1. Information We Collect

Information you give us directly: such as your name, email address, and message when you submit a demo request or contact us.

Guest data processed on behalf of our Customers: when an organization uses TrackPass to manage an event, they may upload guest information (such as names, email addresses, phone numbers, and company names) into the application. TrackPass processes this data solely on the Customer's behalf and instructions, as a data processor. If you are a guest whose information was uploaded by an event organizer, please contact that organizer directly regarding your data.

Usage data: such as pages visited and general browser/device information, collected via cookies and analytics tools (see "Cookies & Analytics" below) on our marketing website only.

2. How We Use Information

3. Cookies & Analytics

Our marketing website uses a session cookie required for basic functionality, and (only if you accept our cookie banner) Google Analytics to understand website traffic in aggregate. You can decline analytics cookies at any time; declining does not affect your ability to use the site or contact us.

4. Data Sharing

We do not sell personal information. We share information only: with service providers who help us operate TrackPass (such as our hosting and email delivery providers, under confidentiality obligations), when required by law, or with your consent.

5. Data Retention

We retain demo/contact request information for as long as reasonably necessary to respond to it. Guest data uploaded by a Customer is retained per that Customer's instructions and deleted when the Customer deletes the corresponding event or workspace.

6. Security

We use industry-standard measures to protect information, including encrypted credential storage, hashed passwords, and access controls restricting data to the relevant Customer's workspace. No method of transmission or storage is 100% secure, but we work to protect your information appropriately.

7. Children's Privacy

TrackPass is not directed at children under 13, and we do not knowingly collect personal information from children under 13.

8. Changes to This Policy

We may update this Privacy Policy from time to time. Material changes will be reflected by an updated "Last updated" date above.
